Report to Senior Executives and Directors, the Executive Assistant is responsible for arranging Board and general meetings of Agency as well as general office administration.

Requirements:

  • Higher Diploma or above, possession of Bachelor Degree is at an advantage;

  • Three years’ experience in secretarial or administrative work;

  • Mature, independent, flexible, trustworthy with high integrity and a strong sense of responsibility;

  • Able to work under pressure and attend to details;

  • Ability to work independently as well as within a team;

  • Good communications and interpersonal skills;

  • Good command of spoken and written English and Chinese, Putonghua is preferred;

  • Literacy and proficiency in digital and computer knowledge and skills.

Job Duties:

  • Assists Senior Executives to organize and coordinate meetings of the Board, its subcommittees and general meetings of the Agency, including the AGM, and prepares the relevant papers and minutes;

  • Assists in company secretarial work such as filing specified forms with the Companies Registry and maintain a proper registry;

  • Provides secretarial assistance to the senior management including managing daily schedule, business appointments, in and out correspondence and meeting logistics etc;

  • Provides general administrative support and logistics arrangement for the team such as expenditure management, procurement, records keeping, correspondences and documents filing, etc;

  • Provides support to ensure the effective and efficient communication with internal and external stakeholders;

  • Assists in preparing funding and or project applications;

  • Performs any ad-hoc duties as assigned by management.
